Applicant Privacy Policy

The Big Table Group Limited (“we”, “us”, “our”) is the Data Controller, registered in England and Wales with company number 12631102 and registered address at Lower Ground Floor, Elsley House, 24/30 Great Titchfield Street, London, England, W1W 8BF.

As Data Controller (as defined in the UK GDPR the retained version of Regulation (EU) 2016/679, as amended for UK law and the Data Protection Act 2018), we use the data collected for the purposes of:

  1. considering you for suitable employment vacancies;
  2. communicating with you at various stages in the selection process;
  3. for on-boarding successful applicants, including verifying right to work; and
  4. for retaining the details of unsuccessful applicants for consideration for future roles in a database (“Talent Pool”).

Information We Collect

We will collect the following data from candidates during the recruitment process:

  • your name and contact details
  • CV, application form and interview notes
  • work history and references
  • your right to work information
  • information needed to make reasonable adjustments during the onboarding process
  • records of your communications with us about the recruitment process.

Criminal Convictions Information

We envisage that we will hold information about criminal convictions where we are legally able to do so. For most roles, this will be limited to details of unspent convictions, including the nature of the offence and relevant dates. We will use information about criminal convictions and offences in order to determine suitability for a role and to carry out our obligations to other employees and to the general public.

Automated Decision-Making

We may use automated decision-making, where an electronic system uses personal information to make a decision without human intervention, in the following circumstances:

  1. Where the decision is required or authorised by law;
  2. Where it is necessary to enter into or perform the contract with you;
  3. In limited circumstances, with your explicit written consent.

In these cases, appropriate safeguards will be in place to protect your rights, including the right to request human intervention, express your views and challenge the decision.

How We Process Your Personal Data

We process your personal data to assess your application and take steps prior to entering into a contract. We also rely on our legitimate interests to manage the recruitment process, including shortlisting, internal assessment, record-keeping and administration.

Where you choose to opt into our Talent Pool, we will process your personal data based on your consent, which you can withdraw at any time.

We will not process the information you have provided for any other purposes incompatible with those referred to in this policy.

Storage and Data Sharing

We will store the information you provide on a computer system provided by a specialist company who act in the capacity of our Data Processor and are based in the UK. Your personal data may be transferred outside the UK/EEA where appropriate safeguards are in place.

We may also share the personal data you submit on this data collection with our company that provide testing or pre-employment checks if appropriate to the role applied for (in which case you will be notified in advance).

Data Retention

The information you provide to us through this form and subsequently during the application process will be stored in our computer systems for a minimum of 12 months if you are not subsequently employed.

If your application is unsuccessful and you opt into our Talent Pool, where you provide your consent, we will retain your data in the Talent Pool for a period of 12 months.

Your Rights

You have the right to request access to, rectification or erasure of personal data that we hold about you as well as a right to object to and to a restriction of our processing of your personal data.

You may also lodge a complaint about us with the ICO.
